There are a lot of small business book keeping software being touted over the Internet and many of them have very affordable prices. Nonetheless, not all software is recommendable. Here are the two basic questions you should ask your prospective book keeping software provider: is the program tailor-made to my business needs or am I forcing my business requirements to fit the limited features of the software; and is the program suitable for business expansion?

This statement is especially true with small scale business ventures whose initial and in-flow of monetary units are still very much limited. Although all entrepreneurs hope that their small businesses suddenly become multi-million enterprises, book keeping helps keep any financial transaction legal and honest. Efficient book keeping tallies credits and debits incurred during a span of time, and it is here where an entrepreneur can actually see if his venture is adhering to his business plans or not. This is but one main feature of most software packages. There are of course, a multitude of other “add-on” benefits.
Originally, book keeping is done by hand. This meticulous and faithful work is a lost cause in the time and age of Internet access and hi-tech gadgetry. It may be a time consuming process, but some small businesses do this in order to save money. Unfortunately, this practice takes away valuable time from the actual business. Eventually, loss of time equals loss of revenue.
It’s a good thing that there are a lot of small business book keeping software being touted over the Internet and many of them have very affordable prices. Nonetheless, not all software is recommendable. There is the “disposable” software or book keeping software with very limited range. Sooner or later (actually, more sooner than you wish,) this kind of software will have to be replaced since it does not conform to the needs of your growing business – which means, you are back to square one: relearning the software package and structuring it in a way that will suit easiest usage.
So why waste money on disposable software when you can get one for keeps. Price isn’t really the issue when it comes to choosing your own small business book keeping software, because as earlier stated, there is a wide selection to choose from. The issue is usability.
Here are a few things to ponder on while choosing suitable software for your business:
Is the program tailor-made to my business needs or am I forcing my business requirements to fit the limited features of the software? Choosing software usually ends up with user-friendly versus friendly user. Often, entrepreneurs choose the first book keeping software they come across with, thinking that they all work the same anyway. Once the program is set-up, they make their business needs conform to the software, giving many allowances to the features that they do not need and adding manual work for the features that they do need but are not part of the software package. Great software should be user-friendly, and not the other way around. Find one that best answers your needs of course, and this means drive testing each and every software you might come across. If a program doesn’t seem to be living up to your standards, find another one. The good news is: small business book keeping software can be available for testing within a one month trial period without cost to you.
Is the program suitable for business expansion? A program unqualified for any kind of expansion (increase in staff number, more clients, work load, etc.) should not be your starting model. Although limited software cannot stunt your business growth, it will only make your time with the harder when it comes to book keeping. So why bother with book keeping at all, if in the end, you still have to do manual additions and revisions? Choose software that has the same potential for growth as with your business. Preferably, choose a program (and you can ask about this with your software provider) that has migration and transition programs. This is in case you want to upgrade to a better system (which eventually you should hope to do.) Migration and transition programs are specifically made for the data inside your software like customers’ names, billing addresses, work load, etc. If you are indeed at that stage where you need to upgrade, wouldn’t you want your files to be transferred to the new system in the easiest possible manner? There are “conversion programs” sold separate from book keeping software packages, but these are usually very expensive and take a lot of time for completion. Plus, you are paying double, when you can pay for one that should have worked well for you in the first place.
